The challenge
The manual processing of invoices is time-consuming and error-prone. The government recognised the problem too. Every public institution was therefore required to be able to receive and process digital invoices by 18 April 2019. Technically, this could be done in a week. But how do you make it work for you? Profource helped 18 ministries, large municipalities and other government organisations to achieve this.
Our approach
Unless the purchase order and invoice matched seamlessly, e-invoicing would be pointless. You would then still have to manually process 50% of the invoices. An efficient solution therefore begins with an analysis. Our quick scan identified clear areas of concern, with an eye for human resistance to change. We know the ERP system and the associated financial processes in detail. This allowed us to quickly ensure that invoices could actually be processed fully automatically, with matching right down to the last order line. As a result, our clients now work more efficiently than they thought possible.
This is how we enabled the government to develop further
Our clients met the legal requirements on time. Box ticked. In addition, together we achieved a major efficiency improvement that will benefit them in the long run. The automation achieves an average 50% capacity saving. Or, in other words, a 50% saving in manpower that can be used in a more impactful way. In addition, we halved the average turnaround time of invoices, another government objective. We are now working with the government to bring about further automation – with technology where possible, and manual labour where necessary. This is how we bring the digital future of government close.
